JF Electrical and Security Systems Ltd
Last updated: 13 October 2026
This policy explains how JF Electrical and Security Systems Ltd ("JF", "we", "us" or "our") collects, uses, shares and protects your personal data, and what rights you have. We aim to explain this clearly and to collect only what we need.
1. Who we are
We are JF Electrical and Security Systems Ltd, a company registered in England and Wales with company number 15076364. We install and maintain CCTV, intruder alarms, fire and smoke alarms, access control, electrical systems and related services for homes and businesses in Greater Manchester and London. We are the "data controller" for the personal data described in this policy, which means we decide how and why it is used.
You can contact us about privacy by email at sales@jfelectricalsecuritysystems.co.uk or by phone or WhatsApp on 07342 673834. Our Greater Manchester team is based on Oldham Road, Rochdale, and our London team is based on Hoe Street, Walthamstow. Our registered office is shown on the Companies House register. We have not appointed a Data Protection Officer, so please send privacy questions and requests to the email address above and mark them "Privacy".
2. When this policy applies
This policy applies when you visit our website, ask for a quote or survey, become a customer, contact us by phone, WhatsApp, email or social media, respond to our adverts or lead forms on Facebook or Instagram, leave a review, or apply to work with us. It does not cover other websites that we link to.
3. The personal data we collect
We collect your identity and contact details, such as your name, phone number, email address, postal address, and the address and postcode of the property where work is needed. We collect details about your enquiry and property, such as the services you want, whether the property is a home, rental, shop or office, access arrangements, preferred times, and any photos or notes you send us.
If you become a customer, we keep records of your job, including quotes, surveys, the equipment we install, invoices, payments, warranties, service history, certificates and test records. We do not store full card numbers; card payments are handled by our payment provider, and for bank transfers we keep the payment reference and amount. We also keep our communications with you, including emails, messages (including WhatsApp), call notes and feedback. If we ever record calls, we will tell you.
If you respond to our adverts, we collect the details you submit in Facebook or Instagram lead forms and information about your marketing preferences. When you use our website, we collect technical data such as your IP address, device and browser type, the pages you view and the website you came from, through cookies and similar technologies. If you create an account on our website, we hold your name, email address and enquiry or order history. We may also keep reviews and testimonials you give us, and photos or video of our work. We only use images of your property publicly with your permission.
We do not intentionally collect special category data, such as health information, or criminal offence data. Please do not include these details in your messages to us.
4. How we collect your data
We collect data directly from you when you complete a form, call or message us, request a quote, book a survey, buy from us or give us feedback. We collect some data automatically through cookies and similar technologies when you use our website, as explained in section 8. We also receive data from others, including Meta (Facebook and Instagram) when you submit a lead form, online directories and lead platforms such as Bark, review sites, and our advertising and analytics providers.
5. Why we use your data and our lawful basis
UK data protection law requires us to have a lawful basis for each way we use your data. We use your data to respond to your enquiry, arrange a survey and prepare a quote, which we do because you have asked us to take steps before a contract and because it is in our legitimate interests to run our business. We use it to supply, install and maintain systems and to provide aftercare and support, which we do to perform our contract with you.
We use your data to take payment, issue invoices and keep accounting and tax records, which we do to perform our contract and to meet our legal obligations. We keep records of installations, testing and certificates, and meet safety and industry requirements, because of our legal obligations and our legitimate interests. We use your data to improve our website, keep it secure and prevent fraud or misuse, to ask for and publish reviews, to respond to complaints, and to establish, exercise or defend legal claims, all of which are in our legitimate interests.
We send you marketing emails or text messages with your consent or, if you are an existing customer, because we have a legitimate interest in telling you about similar services. You can opt out at any time. We use cookies and pixels to show you adverts and measure how well they work, and we use photos or video of our work for marketing, only with your consent. Where we rely on legitimate interests, we consider whether our interests are outweighed by your rights, and you can ask us about this balance at any time.
6. Facebook and Instagram adverts and lead forms
We advertise on Facebook and Instagram. If you complete an instant lead form, Meta passes the details you submit to us, for example your name, phone number, post code and the service you want. We use them only to contact you about your enquiry, for example by phone or WhatsApp, and to keep a record of the enquiry. Meta is a separate controller for its own use of your data on its platforms. Please read the Meta privacy policy to understand how Meta uses your data, including to show you adverts. You can manage your advert preferences in your Facebook and Instagram settings.
7. Who we share your data with
We do not sell your personal data. We share it only where needed. We use service providers who act on our instructions, such as our website and e-commerce platform (Shopify), email, messaging and phone providers (for example Google, Microsoft and WhatsApp), accounting and payment providers, customer record and scheduling tools, and IT support. We use advertising and analytics providers, namely Google and Meta, and where required we do this only with your cookie consent.
We may share your data with subcontractors and suppliers who help carry out your installation, with professional advisers, insurers and certification or inspection bodies where needed for our work or to meet legal requirements, and with review and directory platforms such as Trustpilot, Google and Bark if you interact with them. We may share data with the police, regulators or courts where the law requires it. If we sell or restructure our business, we may share data with the buyer, who must keep it safe and use it as set out in this policy.
If we install CCTV at your property, you or your business are normally responsible for the footage and for complying with data protection law. We do not routinely view your footage. If we access your system to provide support, we do so with your permission and only to fix the issue. If your cameras capture areas outside your own property, such as a neighbour's home or a public street, data protection law is likely to apply to you, and you should follow the Information Commissioner's Office (ICO) guidance on domestic CCTV.
8. Cookies and similar technologies
Our website uses cookies and similar technologies, which are small files stored on your device. Strictly necessary cookies keep the website working, remember your session and basket and keep the site secure, and they do not need your consent. Analytics cookies show us how visitors use the site so we can improve it, and advertising cookies let Meta and Google measure our adverts and show you relevant ones. We use analytics and advertising cookies only if you consent.
When you first visit the site you can accept or reject non-essential cookies using our cookie banner, and you can change your choice later in the cookie settings or in your browser. If you block some cookies, parts of the site may not work as well.
9. How long we keep your data
We keep enquiries that do not lead to a job for up to 12 months after our last contact. We keep customer, job, invoice and payment records for 6 years after the end of the contract or relationship, for tax, accounting and legal claim purposes. We keep certificates and test records for as long as needed to meet legal and industry requirements and to support the work we did. We keep your marketing preferences until you opt out, and then keep a short record so that we do not contact you again. We keep photos and video of our work until you withdraw your permission or we stop using them. Cookie and analytics data is kept for the period stated in the cookie settings. When we no longer need data, we delete it or anonymise it.
10. Transfers outside the UK
Some of our providers, such as Shopify, Google and Meta, may process data in countries outside the UK, including the United States. Where this happens, we make sure the transfer is protected, for example because the country or company is covered by UK adequacy regulations (such as the UK-US data bridge), or because the contract includes the UK addendum to the standard contractual clauses or the UK International Data Transfer Agreement. Contact us if you would like more information.
11. How we keep your data safe
We use sensible measures to protect your data, including password-protected devices and accounts, limiting access to people who need it, using reputable providers, and keeping software up to date. No online system is completely secure, so please take care when sending information over the internet. If a data breach is likely to put you at risk, we will tell you and the ICO as the law requires.
12. Your rights
You have the right to be informed about how we use your data, which is the purpose of this policy. You have the right to ask for a copy of the data we hold about you, to ask us to correct data that is wrong or incomplete, and to ask us to delete your data or restrict how we use it in certain circumstances. You have the right to receive the data you gave us in a common format where we use it based on consent or contract. You have the right to object to our use of your data based on legitimate interests, and to object to direct marketing at any time. You can withdraw your consent at any time, without affecting earlier use or other lawful uses. We do not make decisions about you using only automated processing that has legal or similarly significant effects.
To use any of these rights, email sales@jfelectricalsecuritysystems.co.uk. We may ask you to confirm your identity. We normally respond within one month and do not charge a fee unless a request is clearly unfounded or excessive. Not every right applies in every situation, and we will explain if we cannot do what you ask.
13. Marketing choices
You can stop marketing messages at any time by using the unsubscribe link, replying STOP to a text message, or contacting us. You can also change advert settings on Facebook and Instagram. We will still send you service messages about your booking, installation or account.
14. Children
Our services are for adults. We do not knowingly collect personal data from children under 18. If you think a child has given us personal data, please contact us and we will delete it.
15. Links to other websites
Our website and social media profiles may link to other websites. We are not responsible for their privacy practices, so please read their policies.
16. Complaints
If you are unhappy with how we have used your data, please contact us first at sales@jfelectricalsecuritysystems.co.uk and we will try to put it right. We will acknowledge your complaint promptly and reply without undue delay. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on its helpline, 0303 123 1113.
17. Changes to this policy
We may update this policy from time to time. The latest version is always on this page, with the date it was last updated. If we make important changes, we will tell you in a suitable way, for example with a notice on our website.
